Smart Processes (SPA) — WASync tab on item cards, conversations linked to items, robots and Chat Flows on SPA automation; re-contact window after a closed lead.

Smart Processes (SPA)

New. WASync now works on Bitrix24 Smart Process items as it does on leads and deals. Rolled out in four steps between 14 October 23:30 and 15 October (Bucharest).

  • Robots on SPA automation rules. Send WhatsApp message, Send WhatsApp template, Start a Chat Flow and the AI robot run from a process's automation rules; the recipient is the item's client (primary contact, other contacts, company). Before this release the robots were listed there but failed with "no phone".
  • WASync tab in the item card, added automatically for existing processes, for processes created later, and on Reinstall placements. A process without the Client field gets an explanation instead of an error.
  • Conversations linked to items in WASync Chat (type selector, search as the operator), item responsible honoured by "Assigned to" and "only my records", timeline comments on the item, closed items (final stages) treated like won or lost deals.
  • Chat Flows on a process: fields read and filled (custom fields included), Set stage → Move item, activities, assignment; {{record.stage}} renders the stage name.
  • Ad attribution fills the item's native UTM fields when a click-to-WhatsApp conversation is linked to it.

Guide: Smart Processes (SPA) in WASync. No change to the REST API or the MCP tools; linked items appear as record type dynamic_<entityTypeId> in WASync's data.

Re-contact window after a closed lead

New option under Chat rules → New chats from unknown numbers: Re-contact window after a closed lead (hours), 0 (off) to 720. When a customer writes again within that many hours after their lead was marked lost, the conversation goes back to that lead instead of a new lead being created. A second switch, Reopen the lost lead when the client writes back, moves the lead back to an open stage so it shows up again in the agent's list: the first open status of your lead pipeline (usually New) or a stage you pick in Stage the lead returns to. Without it the lead stays closed and the messages land in its timeline.

The window applies to leads created from new chats (fixed person or round-robin), to the "already a contact but no open lead" option, and to Chat Flows that create leads. Leads that were won (converted) are not affected: the conversation already follows the deal made from them. Off by default on every portal.

Guide: Leads from WhatsApp chats.
